What is a Notary Public?

A notary public is someone who has been appointed by the state to authenticate legal documents and verify the identity of the document’s signer(s). Notaries can be individuals such as lawyers or government officials.

Notarization (the process of getting your document signed by a notary public) helps prevent fraud by ensuring individuals authenticate their documents before they can be used. It can also help confirm that the signer intended to sign the document and wasn’t pressured into doing so (e.g. through undue influence, coercion or duress, etc.), similar to signing your document in front of a witness.

Commonly Notarized Documents

  • Estate Planning - Trusts, Power of Attorney, Health Care Directives
    Trust Certifications

  • Wealth Management / Private Banking / Financial  / Insurance

  • Real Estate Documents

  • Loans - Refinances, Purchases, Home Equity Line of Credit (HELOC), Ship Mortgages

  • Construction  - Waivers, Claims, Releases Upon Payment

Maryland Apostille Process

For Private Documents originating in Maryland

1.  The document must be notarized by a Maryland notary.

2.  The notary’s signature is then authenticated by the Clerk of the Circuit Court in the county where the notary was commissioned. The county’s name can be found imprinted on the notary’s seal.

For Example: If a Prince George’s County notary notarizes the document, the document must then be sent to the Prince George’s County Circuit Court house in Upper Marlboro for authentication because that is where the notary was commissioned.

3.  We will then personally deliver the documents to the Office of the Secretary of State in Annapolis for an apostille or authentication. For cost and requirements please contact us.

4.  If the document requires an apostille, this is the last step. For private documents, the Maryland Secretary of State Apostille is applied and the Maryland Apostille Process is finished, the document is now ready to be used in foreign jurisdictions.

5.  For a full legalization, the document then must be personally delivered to the US Department of State Authentications office in Washington DC for an authentication. For cost and requirements and address, please contact us.

6.  The document then must be personally delivered to the foreign country’s consulate office for the final authentication. Costs, requirements and addresses vary depending on the consulate.

For Maryland State/County-Issued Documents:

1.  Obtain a certified original document or a certified copy from the issuing state or county department. To be certified, the document must have the seal and authorized signature of the issuing department.

2.  We will then personally deliver to the Office of the Secretary of State in Annapolis for an apostille or authentication. For cost and requirements and address, please contact us.

If the document requires an apostille, this is the last step.  For state-/county-issued documents, the Maryland Secretary of State Apostille is applied and the Maryland Apostille Process is finished, the document is now ready to be used in foreign jurisdictions.

3.  For a full legalization, the document then must be personally delivered to the US Department of State Authentications office in Washington DC for an authentication. For cost and requirements and address, please contact us.

Embassy Document Legalization Services DC Maryland Virginia Worldwide

International documents that are originated in one country, but are intended for use in another country require embassy legalization to be recognized by the legal system of the foreign country.

Embassy legalization is the alternative method for authenticating a document that is utilized for countries that are Non-Hague Convention countries. These countries do not recognize the Apostille as a means to authenticating documents per the Hague Convention of 1961.

Embassy Legalization Services

We specialize in handling both the Embassy Legalization and Apostille process for our customers with speed and efficiency.

The process for Embassy Legalization is very much dependent on the type of document and specific requirements of the destination country.

We can very broadly outline the process through the three categories of documents and the procedure required for authentication:

  • Government Documents – any documents or certificates issued by a Federal, State or Local government entity.

The Embassy Legalization process for these type of documents includes processing your documents with the US Department of State Authentication Office here in Washington D.C. and the Embassy of the destination country. Please note, for personal documents like birth, marriage, death and divorce certificates, you must legalize your document with the Secretary of State in the State that your document was issued. If it is in DC, Maryland, or Virginia you may use our expedited services.

  • General Documents – are any document or certificate NOT issued by a Federal, State or Local government entity. This is the largest category.

The Embassy Legalization process for these type of documents includes processing your documents with a local Notary (we offer mobile notary services in DC Maryland Virginia), certification by the appropriate Secretary of State (we can travel for you in DC, Maryland), the US Department of State Authentications Office in Washington DC, and the Embassy of the destination country.

  • Commercial or Shipping Documents – are documents used for shipping product out.

The legalization/authentication process for Commercial/Shipping documents is variable based on destination country. This is primarily because some Apostille/Hague Convention countries require that you follow a separate legalization process with your shipping documents. On the other hand, for many countries, the legalization of documents is not required.
